Position Summary/Purpose of Position:

The position in the Department of Teaching and Learning, Policy and Leadership will support administrative functions in the department such as course scheduling, student support services, data collection and management and assisting with faculty support processes. This position will manage the course scheduling process for the departmental programs. He/she will serve as the assistant for academic processes related to effort reporting, faculty searches, promotion, merit, AEP/APT and other duties as required. This person will also be responsible for data management projects related to department course offerings, faculty activity and student information. Coordinate specialized projects that are vital to the department’s academic services.

Minimum Qualifications:

Education: 
  • Bachelor’s degree from an accredited college or university. Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for the full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credit being equivalent to one year of experience.

Experience:
  • Experience: 3-5 years of related experience in administrative support and/or scheduling.

Knowledge, Skills, and Abilities:
  • Outstanding written and verbal communication skills are required.
  • Ability to exercise and maintain sound decision-making, judgment, and confidentiality is required.
  • Demonstrated organizational skills with keen attention to detail and the ability to work in a fast-paced and highly collaborative environment is required.
  • Demonstrated understanding of and experience working with clients in an academic setting, including knowledge of FERPA and other guidelines covering student and faculty records
  • Proven ability to work independently, adapt to changing priorities, simultaneously manage multiple projects/tasks, and a commitment to inclusion and working with diverse populations is required.
  • Demonstrated proficiency in Microsoft Office and Google Workspace is required.
  • Demonstrated ability to develop and maintaining effective collaborative working relationships with colleagues within COE and across campus
  • Ability to work independently and be a proactive self-starter

  • Professional work experience in higher education.
  • Experience supporting a senior leader or department head
  • Experience facilitating major long term projects with multiple milestones and deadlines
  • Experience building and facilitating professional relationships across a large organization

Physical Demands

  • This position is generally sedentary in nature.
  • Able to operate a computer and other office productivity equipment, e.g, copy machine, printer.
  • Substantial repetitive movements (motions) on the wrists, hands, and/or fingers
  • Good visual acuity to perform regular repetitive tasks, e.g, preparing and analyzing data and numbers, viewing computer terminals, extensive reading.
  • Able to maneuver around the campus to attend meetings, trainings, workshops, seminars, etc.
